Within Exercise.com for Business, you can manage trainer permissions to protect sensitive client billing data. This guide walks you through how to edit trainer permissions to hide billing status and amounts from selected staff members.

1. Navigate to the Account Section

Click the Account section to access account-related settings and options.

2. Open the Trainers List

Click Trainers to view the list of all trainers associated with the account.

3. Select the Specific Trainer

Click the trainer’s name (for example, Taylor Andrews) to open their profile and settings.

4. Access the Permissions Tab

Click the Permissions tab to view and modify the trainer’s access rights and capabilities.

5. Review the Default “Can View Billing Info” Setting

When you access the trainer’s permissions, the default setting in the Can view billing info drop-down field is Can View Billing Info. This displays all billing amounts and pricing information.

Specifically, full payment details such as amounts and dates are visible. You can modify this setting by clicking the drop-down field.

6. Select “Cannot View Billing Info”

In the Can view billing info section, choose Cannot View Billing Info from the drop-down to restrict this trainer from seeing client billing details.

With this setting applied:

All currency amounts (prices and payment amounts) are hidden on client pages.
Status chips such as Billed, Pending, Frozen, and Pending Cancellation remain visible.
The Failed Payment status chip is hidden on individual client pages.
The next payment date remains visible, but the payment amount is hidden.

7. Save Staff Member Changes

Click Save Staff Member to apply and save all permission changes made to the trainer’s profile.

Important Notes:

Head Trainers and Platform Admins can always view all billing information, regardless of this setting.
The Can view billing info permission is independent of the Payment Details and Packages client management permissions.
Existing staff members default to Can view billing info to maintain current behavior.
Trainers can still access and manage client workouts, calendars, and scheduling features even when billing information is hidden.

8. Review and Confirm Changes

You’ve successfully updated trainer permissions to control client billing visibility. This helps maintain client data privacy while allowing trainers to manage workouts, calendars, and schedules effectively.
