How to Use Appointment Name Variables in Automation Messages

With the Exercise.com Automations feature, you can create automations that send personalized messages to clients based on booking events. To make these messages more dynamic, you can now include appointment details, such as the service name, date, and time, directly in the message body.

This ensures that your clients always receive clear, accurate information about their appointments without requiring you to manually edit each message.

1. Navigate to the Automations Tab

Click the “Automations” tab to access the automation settings where you can create and manage automated workflows.

2. Create a New Automation

Click on “Create New Automation” and select “Send a Message: One Time” from the drop-down list.

3. Edit the Automation

Click the edit (pencil) icon next to your automation to open its settings.

4. Select an Action Trigger

Select “Booked a Visit” from the drop-down. You may also choose other triggers, such as:

  • Late Canceled a Visit
  • No Showed a Visit
  • Closed Out a Visit
  • Checked In / Completed a Visit

5. Select the Service

Select a specific service from the drop-down list, or choose “Any Service” if you want the automation to run for all services instead of just one.

6. Select Notification Type

Use the multi-select field to choose how the automation will be sent. You can select one or more of the following options:

  • Email
  • Platform Message
  • SMS Text Message
  • iOS/Android Notification

7. Compose Your Message

Click “Message Body” to edit the text that will be sent automatically. In the message body, insert the variables where needed:

  • {service}
  • {date}
  • {time}

8. Save the Automation

Click “Save” to apply and save the automation you’ve created.

9. Preview the Notification

When the automation is triggered, you will receive a notification through the selected communication channel. Here’s an example of how it will appear:

  • Service: Adult Group Fitness Class
  • Time: 09:00 PM EDT
  • Date: September 26, 2025
